Secretary

The Secretary serves as a key officer on the organization's board, playing a crucial role in ensuring effective communication, record-keeping, and administrative functions. This position requires strong organizational skills, attention to detail, and a commitment to supporting the mission and goals of the nonprofit organization. 

Responsibilities

Meeting Coordination: 

  • Schedule and coordinate LeftRight 4 U Foundation's board meetings, ensuring that all members are informed of the date, time, and location. 

  • Collaborate with the board chair and executive director to develop meeting agendas. 

  • Prepare and distribute meeting materials, including minutes from previous meetings and relevant documents.

Record-Keeping: 

  • Maintain accurate and up-to-date records of board meeting minutes, resolutions, and official documents. 

  • Keep a record of board member attendance and terms of service. 

  • Manage historical records to ensure compliance with legal and regulatory requirements.

Communication: 

  • Facilitate communication among board members, ensuring that all pertinent information is disseminated in a timely manner. 

  • Assist in drafting and distributing official correspondence, announcements, and other communications as directed by the board.

Legal Compliance: 

  • Stay informed about relevant laws, regulations, and compliance requirements for nonprofit organizations. 

  • Ensure the organization complies with applicable state and federal regulations regarding board meetings, filings, and governance. 

 

Annual Reporting: 

  • Collaborate with other officers and staff to prepare and submit required annual reports to regulatory authorities. 

  • Assist in the preparation of the organization's annual report to stakeholders and the public. 

 

Board Support: 

  • Provide administrative support to the board, including arranging board retreats, training sessions, and other special events. 

  • Assist with the orientation of new board members, providing them with necessary documents and information. 

 

Policy Documentation: 

  • Maintain a repository of organizational policies and governance documents. 

  • Assist in the development and revision of governance policies as needed. 

 

Collaboration with the Executive Director: 

  • Work closely with the executive director to ensure alignment between board decisions and organizational operations. 

  • Support the executive director in managing communication with the board and implementing board-approved initiatives. 

 

Qualifications: 

  • Organizational Skills: Strong organizational and time-management skills with the ability to manage multiple tasks concurrently. 

  • Communication Skills: Excellent written and verbal communication skills, including the ability to draft clear and concise meeting minutes and official correspondence. 

  • Detail Orientation: Attention to detail and accuracy in record-keeping and documentation. 

  • Discretion: Ability to handle confidential information with the utmost discretion and professionalism. 

  • Legal Knowledge: Familiarity with nonprofit governance and compliance requirements. 

  • Team Player: Ability to work collaboratively with other board members, staff, and external stakeholders.
